With the introduction of General Data Protection Regulation (GDPR) just around the corner, the 25th of May to be precise, Unit4 have revealed how they will help their Business World (Agresso) customers comply with the regulations in their next software update.
As part of the Unit4 Business World 7.2 update, which was released on the 27th of April, they have announced that they will introduce a routine for the automated anonymisation of personal data.
The process, which will be added to the Unit4 Business World Web client, gives you the ability to choose the specific sections of personal data that you wish to be anonymised from a list of various criteria.
The anonymisation process has been designed to alleviate some of the manual work you would have been expected to carry out in response to a subject’s request to be forgotten, helping you to improve the speed and quality of your response time.
The selection criteria of the data may consist of personal data and/or linked digital documents (for example) of a user, employee, customer or applicant. The process covers all system-defined objects that store personal data, with localisation and local add-ons included.
After you have selected the criteria that you wish to be anonymised, you can retrieve it and confirm it in a maintenance screen. Once you confirm the anonymisation though, all the selected personal data will become anonymous, with it no longer being able to be traced back to a specific individual. The executed actions (not the personal data) are recorded in a report.
